How to reconcile supplier invoices against purchase orders on your Mac
You've got a folder of 50 supplier invoices (PDFs) and a purchase order log (spreadsheet or your accounting system). You need to check that every invoice matches a PO, flag any discrepancies, and produce a summary of what's approved and what needs follow-up. You could spend two hours doing it manually, or you could queue the job and let your Mac do it while you're in a meeting.
What this does
You queue a reconciliation job from your phone: "Match the invoices in the Downloads folder to the PO log in Google Sheets, flag any amount mismatches or missing POs, and build a summary spreadsheet." Anchor Trails runs on your Mac, opens the files and your logged-in Google Sheets, cross-checks each invoice, and produces a summary. It sends you the summary and flags on WhatsApp for review before it saves anything.
What you need
- A Mac or Linux machine you can leave on - The free plan connects one machine; you'll need the Personal plan ($19/month, 50 jobs per day) if you're doing this often, but the free plan (three jobs per day) is enough to try it - The invoice PDFs and the PO log (local files, Google Sheets, or your accounting system open in the browser) - Your accounting system or spreadsheet already logged in on that machine
How it works
Anchor Trails runs on your own device. When you queue the reconciliation job, it goes to your Mac's local work queue. The agent opens the folder of invoices, reads each PDF, opens your PO log (in your browser or a local spreadsheet), cross-references the invoice numbers and amounts, and builds a list of matches and discrepancies. Before it writes the summary spreadsheet or flags anything in your accounting system, it shows you what it found on WhatsApp and waits for your approval.
Your files stay on your machine. Nothing uploads to a third-party service. Sites and systems see your real IP and your logged-in account.
Setup
1. Create a free Anchor Trails account at anchortrails.com 2. Connect your Mac or Linux machine (download the installer, scan the pairing QR code, wait for the first heartbeat) 3. Make sure the invoices and PO log are accessible on that machine — local files, or open in your browser if they're in Google Sheets or your accounting system 4. Queue the job from your phone: open the Anchor Trails mobile view, describe the task ("Reconcile the 50 invoices in Downloads/Invoices against the PO log in Google Sheets, flag mismatches, produce a summary"), and submit 5. Approve the summary when it arrives on WhatsApp
What Anchor Trails actually does
Anchor Trails is a local-first desktop agent that runs on your Mac or Linux machine. It doesn't call an API or upload your files — it opens them locally, reads the PDFs, navigates to your spreadsheet or accounting system in the browser (using your logged-in session), and cross-checks the data. Your flat-rate AI subscriptions (Gemini, ChatGPT, or Claude) provide the reasoning; Anchor Trails provides the file access, browser automation, queue, and approval gate.
The free plan connects one machine and allows three jobs per day. Paid plans let you connect more machines and queue more jobs. A reconciliation job like this counts as one job, regardless of how many invoices it checks.
Nothing leaves your machine without your approval. The agent drafts the summary, shows it to you on WhatsApp, and waits for you to confirm before it saves or sends anything.
